We are seeking a highly skilled and adaptable Senior Administrative Specialist to join our dynamic team. The ideal candidate will be a proactive and organized professional with a strong background in administrative support and a demonstrated ability to quickly learn and master new information, with a passion for sharing that knowledge with others. As a Senior Administrative Specialist, you will play a crucial role in enhancing the efficiency and effectiveness of our operations by providing high-level administrative support to the Leadership Team, reporting directly to the President.

 

 

DUTIES/RESPONSIBILITIES

 

  • Leadership Team Support:
    • Provide comprehensive administrative support to the Leadership Team, including calendar management, meeting coordination, and travel arrangements.
    • Actively engage in learning and staying updated on industry trends, company policies, and other relevant information.
    • Share acquired knowledge with the team, fostering a culture of continuous learning.

 

  • Office Support:
    • Facilitate a smooth and organized work environment.
    • Take ownership of office equipment, including phones, copiers, and networks, ensuring their proper functioning, and coordinating with vendors for maintenance and upgrades.
    • Oversee the ordering of office and technology supplies, ensuring compliance with company policies and procedures.

 

 

  • Communication and Correspondence:
    • Handle incoming communications and correspondence with professionalism and discretion.
    • Master new communication tools and platforms, facilitating seamless information flow within the organization.
    • Provide support for meeting agendas, minutes, tasks, etc., offering reminders and prompts to members to complete tasks on time.

 

  • Project Coordination:
    • Actively participate in project coordination, showcasing adaptability and the ability to learn project-specific tools and methodologies.
    • Mentor team members on project coordination best practices.

 

  • Information Technology (IT) Support:
    • Act as a liaison between employees and the IT department, ensuring seamless communication and prompt resolution of technical concerns.
    • Stay informed about the latest technological advancements and proactively identify opportunities to enhance the organization’s IT infrastructure.
    • Assist in the implementation and maintenance of cybersecurity protocols and best practices.
    • Participate in IT-related projects, offering valuable insights and ensuring effective integration with administrative processes.
    • Contribute to the development and training of IT training programs for staff members, promoting a culture of continuous learning and digital literacy.

 

  • Human Resources Support:
    • Provide support to the HR department as needed for various employee and companywide initiatives.

 

  • Versatility and Initiative:

    • Contribute positively to a collaborative work environment by showing a willingness to support colleagues in diverse tasks.

QUALIFICATIONS & SKILLS

 

  • Bachelor’s degree plus 3 years’ experience in business administration, management, or a related field OR
  • Associate’s degree plus 5 years’ experience in business administration, management, or a related field
  • Exceptional organizational and time management skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, TEAMS).
  • Demonstrated ability to quickly learn and adapt to new technologies and information.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • High level of discretion and ability to handle confidential information.
